Administrative Assistant

BPA is searching for candidates for an Administrative Assistant position within our firm, located in Historic Old Town, Alexandria, Virginia. The Administrative Assistant will provide support to upper management and a team of project architects. Responsibilities of the Administrative Assistant will vary, making this an excellent position for someone who appreciates diversity in their work. Your ability to quickly adapt to the dynamic needs of the office and our team will be an invaluable asset to the firm. Daily tasks may include the following:

  • Answering, screening, and transferring incoming phone calls
  • Greeting and directing visitors and clients
  • Preparing, modifying, and proofreading documents, including correspondence, proposals, reports, and specifications
  • Working alongside the Office Administrator to organize and schedule office events
  • Coordinating travel arrangements, specifically for international travel, including flight reservations, visa applications, and passport processing
  • Ordering office supplies and maintaining office efficiency
  • Coordinating project deliverables

Qualifications:

  • Minimum five (5) years of professional experience in an office environment, specifically in an administrative capacity
  • Excellent interpersonal skills
  • Proficiency in the Microsoft Office Suite, with key emphasis on Word and Excel
  • Ability to plan, organize, and achieve effective time management
  • Ability to learn new concepts quickly
  • Command of the English language, both oral and written
  • Willingness to work in a small office environment requiring the flexibility and adaptability to complete several projects concurrently
  • Bachelor’s degree or higher (preferred)
  • Previous experience or current interest in the architecture/engineering industry (preferred)
